Privacy policy
What this site collects, and why.
Plain language, because that's the point. Last updated November 2, 2026.
Who this covers. Donahue Works LLC ("Donahue Works", "I", "we") of Denver, Colorado, runs donahueworks.com, the Agent Desk dashboard at desk.donahueworks.com, AI phone agents operated on behalf of client businesses, and the advertising, website, automation, AI and process-consulting work we do for clients. This policy explains what information those collect, how it's used, who processes it, and the choices you have. Questions go to [email protected].
1. What we collect
When you use the website
- The 2-minute scan. The website address you enter (which our server fetches once to grade the public page), your answers to the questions about your leads, ads and business, anything you type in the optional comment box, the numbers you put into the loss calculator, and your name, business name, email and optionally phone. Your finished read is saved so we can email it to you and so it can be opened again at a private link (see section 7).
- The contact form. Name, business name, email, phone (optional), what you're looking for, your message, and your website address if you give one.
- Text-message consent. If you tick the text-message box on a form here, or on one of our Facebook or Instagram lead forms, we record your mobile number, that you agreed, when, and the wording you agreed to. See section 4a.
- Booking a call. The name, email, phone and notes you enter in the Cal.com scheduler, plus the time you choose.
- Usage data. This site uses Google tags (Google Ads and Google Analytics) and the Meta Pixel to measure visits and conversions: pages viewed, approximate location, device and browser type, how you arrived, and whether you completed the scan, sent an inquiry, booked a call or tapped a phone number. Google and Meta set cookies for this. See section 4.
- Technical data. Cloudflare, which hosts the site, logs IP addresses and request details for security and performance.
When you call a phone number answered by one of our AI agents
- Your phone number, the date, time and length of the call, a recording and written transcript of the call, and a short summary of what you asked for and what was arranged (for example, an appointment time).
- Any details you give the agent: your name, business, email, what you need.
- The agent tells you it is an AI if you ask. Calls may be recorded for quality and to deliver the message to the business owner; where the law requires it, the agent will say so at the start of the call.
When you are a client
- Business and contact details, your mobile number for call alerts, your Cal.com or calendar connection, invoices and payment records, and the content you give us to configure your website, ads, automations or agent, and notes on how your business handles leads and work when we're mapping or improving those processes.
- Advertising accounts. When we manage your Google or Meta ads, we work inside your ad accounts with access you grant and can remove at any time. That gives us campaign data: spend, clicks, conversions, audiences and the ads themselves. We use it only to run and report on your campaigns. Billing for ad spend stays between you and the ad platform.
- Your customers' contact details. When we set up follow-up texts or emails for you, we handle the names, numbers and emails of people who contacted your business, only to send the messages you approved.
2. How we use it
- To answer your inquiry, email you your scan read (one email, no follow-up sequence), and book and hold the call you asked for.
- To run the phone agent for the business you called: book your appointment, pass your message to the owner (by text or email), and show the owner a log of their calls.
- To run, measure and report on the advertising, websites, automations, AI agents and process and sales work we do for clients.
- To measure whether this site and our own advertising work, and to improve them.
- To keep the site, dashboard and agents secure, and to detect abuse.
- To bill clients and keep business records.
We don't sell personal information, and we don't use it for anything unrelated to the above. We never provide financial products or advice, and we don't collect financial account details.
3. Who processes it
We use a small number of service providers, each only for the job named here. They process data under their own privacy policies and our instructions.
| Provider | Used for |
|---|---|
| Cloudflare | Hosting, security, and the Agent Desk dashboard and its database |
| Google Workspace | Business email for @donahueworks.com addresses, and the spreadsheet we track inquiries in |
| Make | Copying contact-form submissions, scan reads and founding applications into that lead-tracking spreadsheet |
| Web3Forms | Delivering contact-form submissions to our inbox |
| Resend | Sending you your scan read by email, and sending follow-up messages clients have approved |
| Cal.com | Scheduling calls and sending booking confirmations |
| Vapi | Running the AI voice agents: speech recognition, the AI model, call recordings and transcripts |
| Twilio | Sending text-message alerts to business owners about their calls, and follow-up texts clients have approved |
| Google (Ads, Analytics) | Measuring visits and conversions on this site; running and measuring clients' Google ad campaigns |
| Meta (Meta Pixel) | Measuring visits and conversions on this site from our Facebook and Instagram ads; running and measuring clients' Facebook and Instagram ad campaigns |
When we operate a phone agent for a client business, that business receives your call details (number, summary, transcript, booking) because you called them; they are responsible for how they use it from there. We don't share one client's callers with another.
4. Cookies, Google tags and the Meta Pixel
The Google tag on this site (ID AW-18532907898) sets cookies to measure visits and conversions and to attribute them to advertising. It may also be used by Google for ad personalization across sites. You can:
- Opt out of personalized ads at adssettings.google.com.
- Block Google Analytics with the browser add-on.
- Block or clear cookies in your browser. The site works without them; only measurement is affected.
How Google uses data from sites that use its services is described at policies.google.com/technologies/partner-sites.
The Meta Pixel on this site (ID 334693878824522) sets cookies and sends Meta the pages you visit and the actions you take here (finishing the scan, sending an inquiry or application, booking a call, tapping a phone number) so we can measure our Facebook and Instagram ads and show them to people likely to find them useful. Meta may connect this to your Facebook or Instagram account and use it for ad personalization. You can control this in your Facebook or Instagram ad settings, opt out of interest-based ads from participating companies at optout.aboutads.info, or block cookies in your browser. Meta's own practices are described in its privacy policy.
The site sets no other tracking cookies. Cal.com and Cloudflare may set strictly functional cookies inside their own components.
4a. Text messages (SMS)
If you agree to receive texts from Donahue Works, we use your mobile number only to text you about your inquiry: confirming your details, scheduling and appointment reminders, and follow-up. Expect up to 5 messages per inquiry. Message and data rates may apply. Agreeing to texts is never a condition of buying anything.
Reply STOP at any time to opt out, and you'll get one message confirming you won't receive any more. Reply HELP for help, or contact [email protected] or (720) 639-1310. Texts are sent through Twilio (see section 3). The full program terms are at donahueworks.com/terms.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Your mobile number and text-message consent are never shared with anyone else for their own marketing.
5. How long we keep it
- Inquiries and scan reads: up to two years, unless you become a client or ask us to delete them sooner. Deleting a read also turns off its private link.
- Phone-agent call records (recordings, transcripts, summaries): twelve months by default, or sooner if the client business asks us to delete them. Recordings may be deleted earlier by the voice platform's own retention settings.
- Client records and invoices: for the length of the engagement and as long as tax and business law requires.
- Client ad-account access: removed when the engagement ends. Campaign data stays in your own ad accounts, which you own.
- Analytics and ad-measurement data: per Google's and Meta's own retention settings (Google Analytics is currently set to fourteen months).
6. Your choices and rights
You can ask us at any time to show you the personal information we hold about you, correct it, delete it, or stop using it for a particular purpose. Email [email protected] or call (720) 639-1310 and we'll respond within 30 days. If you called a client's phone agent, you can also ask that business directly. Colorado residents have rights under the Colorado Privacy Act to access, correct, delete and port their data and to opt out of targeted advertising; we honor those requests regardless of whether the Act's thresholds apply to us. We don't discriminate against anyone for exercising these rights.
You can opt out of text messages from a phone agent or from us by replying STOP. You can decline to be recorded by hanging up and contacting the business another way.
7. Security
Data in transit is encrypted. The Agent Desk dashboard is behind a login, each client's call data is isolated, webhooks from the voice platform are authenticated, and access is limited to Jacob Martinez and the client business for its own calls. No system is perfectly secure; if a breach affects you we'll tell you as the law requires. Each scan read gets a private link with a random code that isn't listed or indexed by search engines; anyone you share that link with can see the read, so share it only with people you mean to. Ask and we'll delete it.
8. Children
This site and our services are for businesses and adults. We don't knowingly collect information from anyone under 16; if you believe we have, email us and we'll delete it.
9. Changes
If this policy changes in a way that matters, we'll update the date at the top and, for clients, tell you directly. Continued use after a change means you accept it.
